These Terms & Conditions are the agreement between REMBO Site ("REMBO", "we", "us") and the salon, spa or beauty business that registers an owner account ("salon", "you"). They also explain where the salon's own responsibilities begin. Each salon is a separate tenant, and the terms that a salon publishes for its own customers are separate from these terms.
1. Acceptance of these terms
You accept these terms by creating an owner account, signing in, adding staff, taking a booking or otherwise using the platform. If you accept on behalf of a business, you confirm that you are authorised to bind that business.
These terms take effect when your account is created and continue while your subscription or trial is active, and for as long as we hold your data afterwards as described in section 11.
Staff members and salon customers do not become REMBO customers by using a salon's POS, booking page or website. Staff are authorised users of the salon account, and customers deal with the salon.
2. Definitions
- "Platform" means REMBO Site, the booking engine, owner dashboard, public salon websites and related services.
- "Tenant" or "salon" means the business account that owns a set of records on the platform.
- "Owner" means the person who registered the salon account and is responsible for it.
- "Staff user" means an owner, manager, receptionist, stylist or other person the salon authorises to sign in.
- "Customer" means a person who books, buys or receives a service from the salon.
- "Business data" means the salon's services, prices, bookings, sales, expenses, staff records, customer records, loyalty balances, uploaded images and reports.
- "Subscription" means the paid or trial package that gives the salon access to platform features.
- "M-Pesa provider" means Safaricom or another payment provider the salon uses for mobile money payments.
- "SMS provider" means the gateway the salon configures to send booking or loyalty messages.
3. Account registration and security
You must give accurate registration details, including a working email address and phone number, and keep them current. Your salon code, domain and owner login identify your tenant; do not share them outside your business.
- You are responsible for every user you create and for the permissions you give them.
- Keep passwords confidential and use a separate password for the platform. Tell us promptly if you believe a login has been compromised.
- You must not create accounts to impersonate another person or business, or to obtain access to another tenant's data.
- We may ask you to verify your identity before changing an owner account, recovering access or releasing data.
4. Roles and permissions
The platform applies role-based access. An owner can see and change everything in that salon. A manager can see pricing, staff, payroll, expenses, reports and website settings. A receptionist can work bookings, the till, clients, loyalty, expenses and approvals. A stylist or casual staff user sees a restricted desk with their own commission, payouts, advances, leave and assigned tables.
The salon decides who receives each role. The owner is responsible for removing access when someone leaves and for reviewing permissions periodically. Role names and what each role can reach may change as the platform develops, and we will not broaden a role's access without telling you.
5. Subscription packages and billing
The packages available to new and existing salons are listed on this website and in the owner dashboard. A package states the price, the features included and any limits such as the number of staff accounts, M-Pesa STK push, a custom domain, theme choice or page customisation.
Prices are shown in Kenyan shillings. Any applicable taxes, levies or charges are stated at checkout or on the invoice. The billing period that applies to your salon is the one confirmed when you sign up or when an invoice is issued; it is not fixed for every salon.
A trial gives access for the period stated when the account is created. When a trial ends, we may limit access until a paid package is chosen. Paid subscriptions are normally paid in advance for the agreed period. Unless we tell you otherwise, a subscription does not renew automatically; if it is not renewed, access may be restricted when the period ends.
- Upgrades take effect when the additional payment is received, and the price is adjusted for the remaining period.
- Downgrades take effect from the next billing period. Data above the new package limits is kept but may not be accessible until you upgrade again or reduce the records.
- We may change package prices or features. We will give reasonable notice before the change takes effect for your salon, and you may cancel before then if you do not accept it.
6. Subscription payments, refunds and failed payments
Subscription payments may be collected by mobile money, bank transfer, card or another method we make available. You are responsible for the accuracy of the payment details you provide and for any charges imposed by your bank or mobile money provider.
If a payment fails, is reversed or is only partly received, we may ask you to pay again and may restrict features or suspend the account after a reasonable grace period. We will restore access when the outstanding amount is settled.
Prepaid subscription fees are non-refundable, except where a refund is required by law or where we cancel a paid period for our own reasons. Setting up a salon, choosing a package and using the platform are all part of the service, so unused time is not refunded simply because a salon stops using it.
If you believe a charge is wrong, contact us within 14 days of the invoice or payment so we can investigate before a dispute escalates. Do not raise a chargeback with your provider without first giving us a chance to resolve it.
7. Suspension and termination
We may suspend or terminate an account if the salon breaches these terms, does not pay, uses the platform unlawfully, creates a security or legal risk, or is required to be restricted by a competent authority.
- Except where urgent action is needed, we will explain the reason and give a reasonable opportunity to fix the issue.
- You may cancel at any time by contacting us from the owner account. Cancellation stops future billing but does not by itself entitle you to a refund of fees already paid.
- If an account is suspended for a breach, we may keep it restricted until the breach is resolved and any outstanding amount is paid.
- We may restore a suspended or expired account after identity verification and, where applicable, payment of outstanding fees. Restoration depends on the data still being available under section 11.
8. Data ownership and responsibilities
The salon owns or controls its business data, subject to the rights of the individuals the data is about and any third-party rights. REMBO receives only the limited rights needed to host, process, transmit, back up and display that data so it can provide the service.
The salon is responsible for collecting personal information lawfully from its customers and staff, for telling them what the salon does with it, and for responding to their requests. The salon's own privacy notice, published on its storefront, governs that relationship.
REMBO owns the platform software, design, documentation and brand. We may use aggregated, de-identified information about how the platform is used to improve it and to report on service performance, but we do not publish information that identifies a salon or an individual.
The salon must have the right to upload every photo, logo and document it adds, and must obtain permission before publishing images of clients or staff.
9. Acceptable use
The platform must not be used to break the law, harm other people, damage the service or interfere with another tenant. The following are prohibited:
- Fraud, money laundering, or recording payments that were not actually received.
- Accessing, probing or attempting to access another tenant's account or data, or bypassing role permissions.
- Attacking, overloading, scraping or reverse engineering the platform or its infrastructure.
- Uploading malware, unlawful content, or content that infringes copyright or privacy.
- Sending unsolicited marketing messages through the SMS integration, or messaging people who have asked not to be contacted.
- Reselling, sublicensing or providing the platform to another business as your own service.
- Using the platform in a way that creates a legal or regulatory risk for REMBO or other salons.
10. Service availability and support
We aim to keep the platform available and to fix problems promptly, but we do not promise uninterrupted or error-free service. Access can be interrupted by maintenance, updates, internet connectivity, device failure, or outages at hosting, M-Pesa, SMS, domain or other providers we depend on.
We may release changes and take the service down briefly for maintenance. Where a planned interruption is likely to be significant, we will try to give notice in the dashboard or by email.
Support is available through the contact page and the email address published there. We aim to reply within one working day, but response times are targets rather than guarantees, and support does not include fixing problems caused by a salon's own device, network, staff use or third-party credentials.
11. Backups, export and closure
The platform is designed to keep records available, and staff can export or print reports that the current package provides. If you need a copy of your business data, ask us from the owner account and we will explain what can be exported and in which format.
When an account is cancelled or terminated, access ends. We keep the data for a short recovery period of about 30 days, during which the owner may ask for a copy or ask us to restore the account. After that period we delete or de-identify the data, except records we must keep to comply with the law, resolve a dispute or protect our legal position.
Financial and tax records may need to be retained for longer under Kenyan law. Export any records you are legally required to keep before closing the account. Backup copies may remain until they are overwritten in the ordinary course of our backup cycle.
12. M-Pesa and payment integrations
An STK push is a request to pay, not proof of payment. A sale is confirmed only when the payment provider's callback, reconciliation response or verified statement shows that the money was received. Until then the sale remains pending, and the salon should not treat it as settled.
- Payments can time out, fail, be reversed or arrive after a delay. The salon is responsible for checking pending payments and reconciling them with its own M-Pesa statement.
- Marking a sale as paid without provider confirmation is the salon's decision and responsibility.
- The salon is responsible for its paybill or till credentials, for keeping them secure and for complying with the provider's rules and limits.
- We are not responsible for provider downtime, network problems, transaction fees, reversals or the provider's own record of a transaction.
- We do not promise that a payment will be instantaneous or that every request will succeed.
13. SMS and notifications
SMS notifications are optional. The salon supplies its own gateway credentials, sender ID and message content, and pays the provider's charges. We transmit the message but do not control the mobile networks, so delivery can be delayed or fail.
The salon is responsible for having a lawful basis and any consent needed for every message it sends, for keeping opt-out requests, and for the accuracy of the content. Transactional messages (such as a booking confirmation) are different from marketing messages; marketing requires consent and an easy way to stop.
Sender IDs are subject to provider approval. A message that is rejected, delayed or billed by the provider remains the salon's responsibility.
14. Intellectual property
REMBO owns or licenses the platform, its source code, design, trademarks and documentation. While your subscription is active, you may use the platform for your salon's internal business and for its public storefront.
You keep ownership of the content you upload and grant us a licence to store, copy, resize and display it only to run the service. If you send us feedback or suggestions, you allow us to use them without obligation to you.
You may not copy, modify, distribute or create derivative works from the platform, or remove proprietary notices, except as the law expressly allows.
15. Liability and disputes
We provide the platform with reasonable skill and care. The salon remains responsible for its business decisions: prices, refunds to its customers, tax, employment, commission agreements, and the accuracy of the records it enters.
The POS helps record services, payments, expenses and commissions, but it is not an accountant, auditor or payment guarantee. The salon must review and reconcile its own records.
To the extent permitted by Kenyan law, REMBO is not liable for indirect or consequential loss, loss of profit, loss of business, loss of goodwill or loss of data, and our total liability for a claim is limited to the subscription fees paid by that salon in the three months before the event giving rise to the claim. Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for fraud or for death or personal injury caused by negligence.
If a dispute arises, contact us first so we can try to resolve it in good faith. These terms are governed by the laws of Kenya, and the courts of Kenya have jurisdiction, subject to any right you have to complain to a regulator.
16. Changes to these terms
We may update these terms as the platform or the law changes. The current version is always published on this page with the date it was updated. If a change materially affects your rights or obligations, we will notify owners by email or in the dashboard before it takes effect.
If you do not accept a change, you may cancel before it takes effect. Continuing to use the platform after the effective date means you accept the updated terms.
17. Contact
Questions about these terms, invoices, suspension, data export or closure: email support@rembo.site or use the contact page. For privacy matters, see the Privacy Policy, which explains how to reach us about personal information.
These terms are a contractual document and do not replace legal advice for your own business. Each salon remains responsible for the terms and privacy notice it publishes to its own customers.
